1. Purpose of This Policy

MiqZax is committed to providing reliable products and professional support to its authorised sellers, retailers, distributors and business partners. This Seller Return, Replacement & Refund Policy establishes the conditions under which a seller may request a return, replacement, adjustment or refund for MiqZax products supplied under a valid purchase order, invoice or other approved business arrangement. This policy is applicable to B2B/wholesale transactions only and is not intended for direct consumer purchases.

2. Who Can Use This Policy

This policy applies to:

  • Authorised MiqZax sellers

  • Retailers

  • Distributors

  • Wholesalers

  • Approved business partners

  • Other parties purchasing MiqZax products for resale

The seller must be able to provide the relevant invoice, purchase order, order number or other proof of purchase.

3. Return Window

Any return or product-quality claim should be reported to MiqZax within 7 calendar days from the date of delivery. Claims submitted after this period may not be accepted unless MiqZax agrees otherwise in writing. For shortages, wrong products or visible transit damage, the seller should notify MiqZax as soon as possible after delivery.

4. Eligible Reasons for Return or Replacement

A seller may request a return or replacement where the product is found to have:

  1. A genuine manufacturing defect.

  2. Incorrect product supplied by MiqZax.

  3. Incorrect size, colour, design or quantity supplied against the confirmed order.

  4. Significant damage caused during transportation, subject to supporting evidence.

  5. A material quality issue that does not match the specifications approved or confirmed by MiqZax.

  6. A substantial production defect that makes the product unsuitable for normal sale.

All claims are subject to inspection and approval by MiqZax.

5. Evidence Required for a Claim

To process a claim efficiently, the seller may be required to provide:

  • Invoice or purchase order details.

  • Order number or shipment details.

  • Clear photographs of the product.

  • Photographs of the product label/tag.

  • Photographs of the outer packaging/carton where applicable.

  • Photographs or video showing the alleged defect or damage.

  • Quantity of affected products.

  • A brief description of the issue.

For transit-damage claims, photographs of the package before opening and after opening may be requested. MiqZax may request additional information where necessary to verify the claim.

6. Product Condition for Return

Products approved for return should normally be:

  • Unused.

  • Unwashed.

  • Unaltered.

  • Free from stains, odour or damage caused by the seller.

  • With original tags/labels attached where applicable.

  • In the original packaging wherever reasonably possible.

Products that have been worn, washed, altered, repaired, relabelled or otherwise modified by the seller may not qualify for return or replacement unless the issue itself is a verified manufacturing defect.

7. Non-Returnable Situations

Returns or refunds will generally not be accepted for:

  • Change of mind by the seller.

  • Slow-moving or unsold inventory. 

  • Customer preference after the seller has purchased the product.

  • Incorrect size selection made by the seller.

  • Products damaged by improper storage, handling or washing.

  • Products altered, customised or modified by the seller.

  • Normal colour variation, fabric characteristics or minor variations that fall within reasonable manufacturing tolerances.

  • Products sold by the seller to its own customers and subsequently returned to the seller for reasons unrelated to a verified MiqZax manufacturing defect.

  • Clearance, promotional or specially agreed products where the order terms specifically state that they are non-returnable.

8. Inspection and Approval

All return, replacement and refund requests are subject to verification by MiqZax. Submission of a claim does not automatically mean that the claim has been approved. MiqZax may inspect the product, photographs, packaging, batch information, production records and other relevant information before making a decision.MiqZax reserves the right to reject claims that do not meet the requirements of this policy.

9. Replacement

Where a claim is approved, MIQZAX may, at its discretion:

  • Replace the defective product with the same product;

  • Replace the product with an equivalent product, subject to availability;

  • Provide an appropriate credit adjustment against a future order; or

  • Provide another mutually agreed resolution.

Replacement is subject to stock availability.

10. Refund

Where MiqZax approves a monetary refund, the refund will generally be processed against the eligible value of the affected product after verification. Refunds may be made to the business bank account or through the payment method/account used for the eligible transaction, subject to applicable payment and accounting procedures. MiqZax will not be responsible for delays caused by banks, payment gateways or other financial institutions.

11. Shipping and Return Charges

Where the return is approved because of a verified MiqZax manufacturing defect, wrong product supplied by MiqZax or another MiqZax-responsible issue, MiqZax may arrange or reimburse reasonable return transportation costs, subject to prior approval. For returns arising from the seller's own error, preference, unsold stock or other non-eligible reasons, the seller will be responsible for the applicable transportation and handling costs.

Sellers should not send products back to MiqZax without receiving return instructions or approval.

12. Shortage or Wrong Quantity

The seller must report any shortage or quantity discrepancy within 7 calendar days of delivery.

The claim should include:

  • Invoice number;

  • Quantity ordered;

  • Quantity received;

  • Quantity claimed as missing;

  • Photographs/videos of the shipment where available.

After verification, MiqZax may provide the missing quantity, replacement, credit adjustment or another appropriate resolution.

13. Wrong Product or Wrong Specification

If MiqZax supplies a product that materially differs from the confirmed order, the seller should notify MiqZax within the applicable claim period. After verification, MiqZax may provide a replacement or another appropriate adjustment.

14. Manufacturing Defects

A manufacturing defect means a production-related issue that materially affects the product's intended use, appearance or saleability.

Examples may include:

  • Significant stitching failure;

  • Major garment construction defect;

  • Incorrectly manufactured product;

  • Serious finishing defect;

  • Material production damage;

  • Other substantial production-related defects confirmed by MiqZax.

Minor variations that naturally occur during garment manufacturing and do not materially affect the product may not be treated as manufacturing defects.

15. Seller's Responsibility

The seller is responsible for:

  • Inspecting products after delivery.

  • Storing products appropriately.

  • Handling products carefully.

  • Following garment care and storage instructions.

  • Maintaining invoices and order records.

  • Reporting eligible issues within the prescribed period.

  • Providing truthful and complete information during the claim process.

MiqZax will not be responsible for defects or damage caused after delivery by improper storage, handling, washing, alteration, transportation arranged by the seller or other seller-related actions.

16. Customer Returns Handled by Sellers

MiqZax operates on a B2B basis with authorised sellers. Therefore, if a seller sells MiqZax products to its own customers, the seller is responsible for managing its customer-facing return, exchange and refund arrangements unless MiqZax has separately agreed otherwise in writing. A seller's customer return does not automatically create a right to return the product to MiqZax. The seller must first establish that the issue is covered by this Seller Return, Replacement & Refund Policy.

17. No Automatic Refund for Unsold Stock

MiqZax does not guarantee refunds, returns or buybacks for products that remain unsold by a seller. Seller purchases should therefore be made according to the seller's expected demand and business requirements. Any stock return, buyback or special adjustment must be separately agreed in writing by MiqZax.

18. Promotional and Special Orders

Products supplied under special pricing, clearance offers, promotional schemes, customised orders or other special commercial arrangements may have separate return or refund conditions. Where different conditions have been agreed in writing, those conditions will apply to the relevant order.

19. Fraudulent or Misuse of Claims

MiqZax may reject claims and suspend further return privileges where it reasonably determines that a claim involves:

  • False information;

  • Deliberate product damage;

  • Repeated misuse of the return process;

  • Product substitution;

  • Tampering with labels or packaging;

  • Unauthorised alteration of products; or

  • Any other fraudulent activity.

Miqzax may also take appropriate action under the applicable business agreement.

20. Processing Time

After receiving all required information and, where necessary, the returned product, MiqZax will review the claim within a reasonable business period. The actual resolution time may vary depending on:

  • Nature of the claim;

  • Product inspection;

  • Availability of replacement stock;

  • Courier/transportation arrangements;

  • Payment or banking procedures.

MiqZax will communicate the decision and next steps to the seller.

21. Policy Modification

MiqZax reserves the right to update, modify or revise this policy from time to time. The latest version published on the official MiqZax website will apply to transactions made after the effective date of the revised policy, unless otherwise agreed in writing.

23. Important Notice

This policy is intended to establish clear commercial guidelines for MiqZax's B2B seller and business-partner relationships. Nothing in this policy is intended to exclude or restrict any rights or obligations that cannot legally be excluded under applicable law. For specific commercial arrangements, the applicable purchase order, seller agreement, invoice terms and written confirmation between MiqZax and the seller may contain additional conditions.
